- Descriptions should give enough context for teammates to understand the asset's usage: mention target audience, language, version, and date (e.g., “FAQ PDF for shipping costs - English - updated Jan 2024”).
- When managing multiple WABA numbers, always confirm the dropdown selection before uploading. If the same asset is needed across connections, upload it to each WABA-WhatsApp doesn't share media IDs between accounts.
- Agents inherit the master user’s permissions; document naming rules so everyone follows the same standards.
- Maintain a spreadsheet or documentation linking media IDs to templates, automations, and campaigns, and perform quarterly clean-ups to remove obsolete files.
